The 1,000-Member Loyalty Program: A Restaurant CRM Playbook
28 June 2026 · TotalBiz POS Team
A practical, week-by-week playbook for taking a venue from zero customer data to a loyalty program that measurably fills quiet nights.
Weeks 1–2: capture without friction
Every channel enrols by default: QR orders, website orders and app orders capture the customer automatically; counter staff offer points via phone number — a five-second ask. No plastic cards, no forms on clipboards. The target is simple: make joining easier than declining.
Weeks 3–6: make the first reward reachable
Program design decides everything. A reward guests can reach in four to six visits keeps engagement alive; one that takes twenty visits is a spreadsheet, not a program. Points-per-dollar with a $10 reward at 200 points is the honest workhorse. Member-only pricing on two hero items gives the card a reason to exist between rewards.
Weeks 7–10: automate the campaigns
Birthday rewards send themselves. A win-back offer triggers at 35 days of absence. Double points every Tuesday — configured once — quietly moves weekend regulars into the venue's deadest night. None of this needs a marketing hire; it needs a CRM that's already watching visit patterns, which is exactly what the POS is.
The compounding effect
A database of 1,000 known customers with visit history is an asset marketplaces can never hand you: it's re-marketing you own, insulation against algorithm changes, and the difference between hoping regulars return and engineering it. Venues that start capture today are twelve months ahead of the venue that starts next year.
