How much does a restaurant POS system cost in Australia?

Across the market, hospitality POS software generally runs from roughly $60 to $300+ per month per venue, hardware from about $500 for a tablet setup to $3,000+ for a multi-terminal fit-out, and card processing typically between 1.1% and 1.9% per transaction. The sticker price is rarely the real price though — loyalty, online ordering, kitchen screens and extra registers are commonly charged as extras. TotalBiz POS is quoted as one all-inclusive subscription per venue so the number you're given is the number you pay.

What's included in the TotalBiz POS subscription?

Is there a lock-in contract?

No lock-in contracts and no exit fees. We'd rather keep venues because the system earns its place than because they're trapped in a term.

Are there per-order or transaction fees on online ordering?

No. Orders through your own website, customer app and QR codes carry no commission and no per-order fee. That's the core of how we're different from marketplace-linked systems.

Do you offer a free trial?

We run a free on-site demo with your actual menu loaded, and we periodically offer a first-month-free intake. Ask us what's currently available when you book.

What does it cost to add a second venue?

Additional venues are quoted at a group rate, and you manage them all under one login with group-level dashboards, central menus and inter-venue stock transfers.

How fast you can be trading

Send a photo of your menu and we build the system for you. Most venues are live within 48 hours.

How long does it take to set up a POS system?

48 hours for a standard venue. That covers hardware installation, menu build, printer and kitchen screen routing, loyalty configuration and staff training. Larger multi-terminal venues may take slightly longer, and we'll tell you upfront if that's the case.

Do I have to enter my whole menu myself?

No — this is the part venues dread and we removed it. WhatsApp us a photo of your printed menu, even a laminated one off the counter, and our team enters every item, size, modifier, half-and-half option and deal. We then walk you through the built menu so you can adjust anything before go-live.

Can I switch from my current POS without losing trading time?

Almost always. We schedule installs around your service — commonly overnight or on a close day — so you finish trading on the old system and open on the new one.

How switching works
Can I bring my existing customer and loyalty data?

Yes. Export whatever your current system allows and we'll load your customer list so regulars keep their history and points where the data supports it.

How much training do staff need?

The terminal is designed so a weekend casual can learn it in about ten minutes. We train your team in person on your own hardware with your own menu before go-live, and 24/7 phone support covers the questions that come up in week one.

Do you install outside Western Sydney?

Yes. We're based in Western Sydney and cover the greater Sydney region on site, with installations further afield arranged case by case. Call us with your location and we'll tell you honestly what we can do.

Do you supply POS hardware?

Yes — touchscreen terminals, kitchen display screens, order-taking tablets, customer displays, kitchen docket printers, receipt printers, label printers, cash drawers, card readers, barcode scanners, mounts, UPS units and the networking behind it all.

Can I use hardware I already own?

Often yes. TotalBiz POS runs on most modern touchscreen terminals, iPads and Android tablets, and works with common ethernet and USB printers and cash drawers. We assess your existing gear first and only replace what genuinely needs replacing.

Why do kitchen printers need to be different from receipt printers?

Thermal dockets fade to black in the heat above a grill. Kitchen printers should be impact (dot-matrix) units using heat-stable ink, ideally printing in red and black so allergens and modifiers stand out on the ticket. Receipt printers at the counter can stay thermal for speed and quiet.

What happens if a terminal fails mid-service?

Call our 24/7 Australian support line. Because the system is cloud-based, a replacement terminal or tablet logs straight in with your full menu, settings and open orders intact — there's no rebuild and no data loss.

Do you handle the cabling and network too?

Yes. Data and power runs, access points for full-floor Wi-Fi coverage including beer gardens, PoE switches, separate guest and POS networks, and 4G failover options are all part of what we install.

Does the POS work if the internet goes down?

Yes. Terminals keep taking orders and payments in offline mode and sync automatically the moment your connection returns. Kitchen screens on the local network keep receiving tickets throughout.

Is the system customised for my type of venue?

Every install is configured for the venue it serves. Pizza shops get size, half-and-half and deal logic; cafés get coffee-first layouts and split docket routing; pubs get tabs and beer-garden QR ordering; takeaways get counter-speed layouts and pickup screens; food trucks get offline-first setups.

Do customers need an app for QR table ordering?

No. Scanning the code opens your menu instantly in the phone's browser. Table-specific codes mean orders always route to the right table, and loyalty points accrue automatically.

Can I keep taking orders through staff as well as QR codes?

Yes — QR ordering runs alongside staff-taken orders, handhelds and counter service. Everything flows into the same kitchen queue in the order it was placed.

Does it handle allergens and dietary requirements?

Allergen and dietary flags travel with the ticket to every station and print in a highlighted colour on kitchen dockets. GF, vegan, nuts, dairy and custom tags are all supported.

Can I run loyalty without a separate subscription?

Yes. Points, membership tiers, member-only pricing, digital cards, gift vouchers, birthday rewards and SMS/email campaigns are all built into the core subscription.

Does it integrate with accounting software?

Reporting exports in formats that drop into common Australian accounting workflows including Xero and MYOB, with GST-ready summaries for BAS time. Your accountant can have their own read-only login.

A deliberate choice: direct, commission-free ordering through channels you own.

Do you integrate with Uber Eats, DoorDash or Menulog?

No, and it's deliberate rather than a limitation. Marketplace platforms commonly take 20–35% of each order and keep the customer relationship. TotalBiz POS is built for venues that want direct, commission-free ordering through their own website, app and QR codes, so you keep 100% of every sale and every customer joins your database.

Won't I lose orders by not being on the delivery apps?

Most venues keep their marketplace listings as an acquisition channel and use pricing and loyalty incentives to move repeat customers to direct ordering. The aim isn't to disappear from the apps — it's to stop paying commission on regulars who would have ordered from you anyway.

Is a website included?

Yes. Every plan includes a professionally built, mobile-first, SEO-optimised website with online ordering for pickup, synced live to your POS menu. Change a price once and it updates on terminals, QR menus, the website and the app together.

How do customers find my direct ordering?

Your ordering link goes on your Google Business Profile, social bios, receipts and table talkers, and the site is built to rank for local searches. We set this up as part of your install.

Can I offer different pricing online versus in-venue?

Yes. Many venues price direct ordering slightly better than the marketplaces — funded by the commission they're no longer paying — and add loyalty points on top to make direct the obvious choice.

What support do you provide?

24/7 Australian phone support. You call a local number at any hour and reach a real person, not a ticket queue or an offshore script. Because we install your system ourselves, whoever answers can see how your venue is configured.

Is my data backed up?

Yes. Everything lives in the cloud with continuous backup, so there's no on-site server to fail and nothing for you to remember to back up. Replacement hardware logs in with your data intact.

Who owns my customer data?

You do. Your customer list, visit history and spend data are yours, exportable at any time. That's a meaningful difference from marketplace platforms where the customer relationship belongs to them.

What happens to my system if I stop the subscription?

There's no lock-in, so you can leave whenever you choose. We'll export your menu, customer and sales data for you on the way out — we'd rather part on good terms than hold data hostage.

Do you charge for software updates?

No. Updates and new features are included in the subscription and roll out automatically. There are no version upgrades to purchase.
